Data Management | Data controllers processing personal data must follow - and be able to demonstrate that they are following - the data protection principles. Under the GDPR, there are six principles. Personal data must be processed following these principles so that the data are: Processed fairly, lawfully and transparently - and only if there is a valid 'legal basis' for doing so. Processed only for specified, explicit and legitimate purposes. Adequate, relevant and limited. Accurate (and rectified if inaccurate). Not kept for longer than necessary. Processed securely - to preserve the confidentiality, integrity and availability of the personal data. Under the DPA 1998 there were eight principles but two of these (about the rights of data subjects and transfers of personal data outside the European Economic Area) are covered in different ways in the GDPR. Depending on the context, there are full or partial exemptions from the principles when processing personal data for specific purposes, including different types of academic research. |
Data Policy | The Archive and Picture Library are committed to providing access to our collections. We aim to balance this requirement with the collections conservation needs and work within the relevant legislative restrictions. Copyright and Data Protection legislation affects most of our collections. The South Georgia Archive is a designated Public Record and so subject to Crown Copyright. Some items within the collections have additional restrictions placed upon them under the terms with which they were deposited; this is particularly true of items on loan. Archive and Picture Library staff will advise on access options in these instances. |
Data Sharing Principle | The catalogues clearly state if an item is open for research. The Archive and Picture Library is open to anyone over the age of 18 who wishes to carry out research using our collections. Anyone under 18 should contact Archive or Picture Library staff directly to discuss access provision. |
